Systems we build in every week
Common bottlenecks
The leaks we find on almost every first call.
All of them are common. All of them are fixable in weeks.
01 · TIME
- Someone re-types form submissions into the CRM by hand.
- Monday starts with two hours of copy-paste reporting.
- Three tools hold three different versions of the same client.
- Onboarding a new hire means "shadow me for a month."
02 · MONEY
- Invoices go out late because the data lives in five places.
- You pay for seats and software nobody has opened since March.
- A grant report took three weeks of staff time to assemble.
- Nobody can say what a client costs to serve.
03 · GROWTH
- Hand-raisers wait days for a reply, then go quiet.
- Follow-ups happen when someone remembers, not when they should.
- The pipeline review is a debate about whose number is right.
- You turned down work because the systems could not absorb it.
What we do
Four disciplines. One rate. A clear scope.
Everything is $150 per hour, scoped in writing before you sign. Most first engagements land between 5 and 20 hours.

typical first fix: 8 to 25 hrs
RevOps & CRMGTM Engineering
Outbound infrastructure with Clay, Apollo and Instantly: signal-based lists, enrichment, sequencing and CRM sync. Built to book real meetings.
typical first fix: 6 to 25 hrs
GTM EngineeringAutomation & AI
Zapier, Make and n8n workflows with error handling that holds. Plus AI agents on Claude and OpenAI for triage, enrichment, research and reporting.
typical first fix: 4 to 20 hrs
Automation & AIFor Non-profits
Funding-readiness audits, funder-grade reporting, donor and member CRMs. Built by people who have run ops inside resource-capped orgs.
typical first fix: 5 to 18 hrs
For Non-profitsThe handover
You keep the system, the documentation and the numbers.
Every engagement ends with working software in your accounts: reporting that reconciles to the books, automations with run histories anyone can read, and documentation your team can follow without us in the room.
Tiny innovations
Start with the smallest thing that matters.
We pick the highest-leverage small fix, ship it fast, and earn the next one. Here is what a first engagement usually looks like.
TI-01 · 4 to 8 hrs
Lead routing that catches every hand-raise
Every form, email and call lands in the CRM, gets an owner, and gets a follow-up date. Automatically.
TI-02 · 6 to 12 hrs
CRM cleanup and de-duplication
Duplicates merged, dead fields retired, lifecycle stages that mean something. A CRM your team can rely on.
TI-03 · 5 to 10 hrs
One dashboard that reconciles
Board-ready or funder-ready numbers pulled live from the source. The Monday report assembles itself.
TI-04 · 8 to 15 hrs
An AI agent for the inbox
Triage, drafting and enrichment on Claude or OpenAI, wired into the tools you already use. Reviewed by a human, always.
TI-05 · 4 to 8 hrs
Quote-to-invoice, hands free
Deal closes, invoice goes out, payment reconciles in QuickBooks or Stripe. Month-end reconciliation takes care of itself.
TI-06 · 6 to 10 hrs
Outbound list, enriched and verified
A signal-based prospect list with verified emails and research notes, synced to your CRM and ready to send.
Hours quoted in writing after a 30-minute discovery call. Unused hours never expire.
How we work
A diagnosis, a fix, and a clean handoff, in weeks.
Discovery call
Thirty minutes. You talk, we ask questions, and together we name the bottleneck worth fixing first.
day 0 · freeScope in writing
You get a one-page scope: the fix, the hours, the price, the date. No surprises in the proposal, ever.
day 2 to 3Build
We build inside your accounts with check-ins you can read in a minute. If scope moves, we re-quote before continuing.
week 1 to 3Handoff, documented
A walkthrough, plain-English documentation, and your team running it without us. You own everything.

The alternatives, priced honestly
What this costs against the other ways to get it done.
| Tinyvation | Full-time ops hire | Big agency retainer | Doing it yourself | |
|---|---|---|---|---|
| Cost | $150/hr, most first fixes $600 to $1,500 | $90K to $150K+ per year, plus ramp | $5K to $15K per month, 6-month minimums | No cash cost, but significant founder time |
| Starts delivering | Most first fixes live inside 3 weeks | 3 to 6 months to hire and ramp | After onboarding and strategy phases | Whenever the day job allows |
| Scope honesty | Hours quoted in writing before you sign | Full salary whether busy or not | Billed monthly whether used or not | Scope is improvised as you go |
| Who does the work | The two people you met on the call | The person you hired, alone | Whoever is staffed on you this quarter | You, in spare hours |

A full-time hire is the right call eventually. We will tell you when you are there, and help you hire them.
Before you book
The questions we hear most often.
What does it cost, really? +
One flat rate: $150 per hour for everything, whether it is CRM architecture, an automation, or an AI agent. We scope the work and put the estimate in writing before you sign anything. There is no minimum engagement and no monthly lock-in.
Do I have to buy a big block of hours up front? +
No. Start as small as you like. A two-hour fix is a real engagement. If you buy a block of hours, any hours you do not use never expire: come back in six months and pick up where you left off.
We already have HubSpot, but it is a mess. Can you still help? +
That is the most common place we start. We audit what you have, fix what is broken, and rebuild the parts your team quietly stopped using. You rarely need to start over, and we will tell you plainly if you do.
What if we do not know what our bottleneck is? +
Book the call anyway. Naming the right bottleneck is half the work, and thirty minutes of the right questions is usually enough to find it. The call costs nothing either way.
What happens if we stop working together? +
You own everything. We build inside your accounts, document how it works in plain English, and hand it back clean so your team can run it without us. You stay independent by design.
What if I am not based in Canada? +
Common, and simple. International clients pay no GST/HST, so the rate you see is the rate you pay. We work asynchronously across time zones and have clients in the US and overseas.
Bring us the bottleneck costing you most.
Thirty minutes. We will name the bottleneck, tell you what fixing it takes, and tell you honestly if you do not need us.
