Pricing

One fixed price for your project, in writing before we start.

We do not publish an hourly rate, because a rate cannot tell you what your project will cost. So we look at your setup first, then send one fixed price in writing. The number in the quote is the number on the invoice.

Every project, every quote

One price. No meter.

Agreed in writing before any work starts. Not an hourly estimate, not a range that creeps.

  • ✓ Scope, price and delivery date in writing
  • ✓ The price in the quote is the price on the invoice
  • ✓ Changes quoted and approved in writing before they are billed
  • ✓ No minimum project size
  • ✓ 30 days of free adjustments after handoff

Why we quote per project

A rate tells you the price of an hour. You need the price of the job.

Most specialist firms quote the same way, and for the same reasons. Here are ours, in plain terms.

Your setup decides the size of the job

A cleanup of 3,000 tidy contacts and a cleanup of 80,000 records with a Salesforce sync are both called "a CRM cleanup". Any number we printed here would be too high for one and too low for the other. We would rather look first and give you the right one.

The overrun risk is ours, not yours

With hourly billing, if the work takes longer, you pay more. With a fixed price, if it takes longer, that is our problem. You know the total before you commit, and it does not move unless you change the scope.

It keeps the quality in the quote

Testing, error handling, documentation and training are written into the scope from the start. They are not line items you feel pressure to cut when a clock is running, and they are what make a system keep working after we hand it over.

One number you can approve

No timesheets to check and no range to explain to whoever signs off on the budget. You get one figure, a delivery date and a written scope you can forward as is.

From call to quote

How you get your number.

A 30-minute call

Tell us what is broken or what you need built. We ask about your tools, your data and who will use it.

day 0 · free

We scope it

We map what is involved. If something needs a closer look, we ask before we guess, so the price is not padded for unknowns.

day 1 to 2

Your written quote

One page: what we will build, what is not included, the fixed price, the delivery date and what we need from you.

within 3 business days

You decide

Approve it, ask for changes, or walk away. The quote costs nothing, and if the honest answer is that you do not need us, we will say so.

no pressure

What shapes your quote

What moves the number.

No hidden formula. These are the things we ask about on the call, because they decide how much work a project really is.

The projectWhat usually moves the priceTypical time to live
Lead routing, end to endHow many lead sources, owners and routing rules you have1 week
CRM cleanup and de-duplicationRecord count, how messy the data is, and which tools keep creating duplicates1 to 2 weeks
Dashboard that reconcilesHow many systems feed it, and whether your teams agree on what each number means1 to 2 weeks
AI agent (triage, enrichment, research)Volume, where the source answers live, and how much a person reviews before anything goes out2 to 3 weeks
Quote-to-invoice automationHow you price, plus deposits, credit notes and which accounting system you use1 week
Outbound list build, enriched and verifiedThe signals you target, list size, and which enrichment sources and CRM it syncs to1 to 2 weeks
CRM implementation or rescueNumber of teams and pipelines, data to migrate, integrations, and how much training you want2 to 4 weeks
Funding-readiness auditNumber of programs and funders, and the state of your current reporting1 week sprint

Timelines are typical for a focused first project; your quote gives your actual date. Each project links to the matching service or case study.

Two ways to work

Fixed-price projects, and retainers for ongoing work.

The usual starting point

Fixed-price project

A defined piece of work with one price, one delivery date and a documented handover. One fix that matters, done properly.

  • ✓ Scope, price and date in writing before you sign
  • ✓ 50% on signature, 50% on delivery
  • ✓ 30 days of free adjustments after handoff

For ongoing work

Monthly retainer

For steady work: running and improving your systems month to month, from portal admin to the next round of builds. Scoped and priced on a call, like a project.

  • ✓ Scope and monthly price in writing
  • ✓ Or prepaid support hours that never expire
  • ✓ Same people who built the system

Context

Against the alternatives.

Tinyvation Full-time ops hire Big agency retainer
What you pay One fixed price per project, agreed before work starts $90K to $150K+ a year, plus benefits and ramp $60K to $180K a year on 6 to 12 month terms
Commitment Your choice: one project at a time, or a monthly retainer Permanent headcount Contract term, often with notice periods
Scope of support CRM, automation, AI, GTM, funding readiness One person's skill set Broad, typically delivered by junior staff
What you keep Everything, documented, in your accounts Knowledge leaves with turnover Deliverables, sometimes in their accounts

When you outgrow this model, the right move is a full-time hire. We will say so, and we will help you write the job description.

Engagement terms

Policies that govern every engagement.

Scope changes

If the work grows mid-build, we pause and quote the difference in writing. You approve it or we ship the original scope. Nothing is billed that you have not approved in writing.

Refunds

No refunds once delivery starts, and we are upfront about that because of what stands in front of it: a written scope, a fixed price, and 30 days of free adjustments after handoff.

Taxes and currency

Quotes are in CAD. Canadian clients add GST/HST by province. International clients are not charged GST/HST: for a US company, the price in the quote is the price you pay.

Non-profits

Every quote is built the same way for every client. Registered Canadian non-profits and charities with budgets under $500K: raise it on the call and we will find a structure that works.

Pricing questions

Fair questions about how we price.

Why don't you publish an hourly rate? +

Because it would not tell you what you will pay. The same request can be a few days of work or a few weeks, depending on your data, your tools and what is already connected. A fixed quote on your actual scope is the only number that answers the real question: what will this cost?

Why not fixed-price packages? +

Packages are priced to cover the seller's worst case, so you pay that price even when your job is the easy one. A quote built on your scope costs what your job costs, and nothing you do not need is bundled in.

Can you give me a ballpark before the written quote? +

Usually, yes. Once we understand the job on the call, we can tell you roughly where it will land. The fixed price follows in writing within three business days.

What if the project takes longer than you quoted? +

Then it takes us longer, and the price does not change. The only thing that changes a price is a change in scope, and that is quoted and approved in writing before any of it is billed.

Is there a minimum project size? +

No. One fix that matters is a real project, and plenty of good work starts with a single workflow done properly.

Do you work on retainer? +

Yes. For steady, ongoing work we work on a monthly retainer. We scope it on a call and put the monthly price and what it covers in writing, the same way we quote a project.

Do prepaid support hours really never expire? +

Really. If you prepay support hours after a project, they are yours until you use them. Buy ten, use six, come back in eight months and the other four are waiting.

Can we pay in USD? +

Quotes and invoices are in CAD by default, which is usually a pleasant surprise for US clients once converted. If your accounting needs USD, say so on the call and we will sort it.

Every project is different. Your price should not be a guess.
