What we keep seeing

Well-run teams, stretched past capacity.

The orgs we work with are well run. They are also meeting enterprise-grade reporting demands on a spreadsheet stack, and the gap lands on the same two or three people.

The reporting scramble

Every grant report takes three weeks to assemble from spreadsheets, inboxes and someone's memory. The data exists; it just lives everywhere.

The invisible track record

Years of real impact that funders cannot see, because the numbers are not assembled and the story is not positioned. Assembled and positioned, that record carries applications.

Scattered donor data

Donors in one tool, members in another, receipts in a third. Renewals slip, tax season runs long, and "who are our hundred best supporters?" is hard to answer.

What we do

Both sides of the operational gap.

The internal systems that make your team run, and the external readiness that makes funders take you seriously. Most consultancies do one. The gap is usually in the middle.

Talk through your situation

Funding-readiness audit: a one-week sprint on why applications are not landing: numbers, positioning, ops gaps, with fixes ranked by effort

Funder-grade reporting: dashboards that turn the three-week scramble into an afternoon, reconciled against your books

Donor & member CRM: implementation or rescue, with CRA-compliant receipting and CanadaHelps or Zeffy integration done right

Funder positioning: how your org reads to the people holding the envelope: website, deck and narrative tuned for credibility

Funder & opportunity search: a curated, researched list of grants, RFPs and funders matched to your programs

Volunteer & program automation: intake, scheduling, reminders and follow-ups that run on their own, documented and owned by your team

Board reporting: a monthly pack that assembles itself, so staff time goes to programs, not formatting

Data practices: donor data handled within PIPEDA expectations, documented so your board can say so with confidence

Fig. 02The funder report as it leaves the building: every figure pulled from the CRM, formatted once, produced the same day it is asked for.

One boundary, stated up front: we do not write your grant proposals. We make you fundable: the clean numbers, the reporting, the positioning, the evidence funders check. The proposal stays in your voice, written by the people who know the work. That line keeps us honest and keeps your applications authentic.

Representative scenarios

Engagements priced for a non-profit budget.

Most ops consultancies start at $5,000 a month with six-month minimums. These are the engagements we run with orgs under $2M.

We set these up for a living and resell none of them. Sometimes the right answer is the free one, and we will say so.

Questions from EDs

Asked by almost every executive director.

We cannot afford a consultant. Why is this different? +

Because the unit is hours, not months. A $900 fix is a real engagement here, scoped in writing before you commit a dollar. Compare that to the $5,000-a-month retainers most ops firms start at, and to what the reporting scramble already costs in staff time every quarter.

Does this replace our staff or volunteers? +

No. It gives them their hours back. We build the system, train whoever owns it, and leave documentation a new staff member or volunteer can learn from. The goal is less dependence on outsiders, including us.

Can this be paid from a grant? +

Often, yes. Capacity-building and technology line items cover this kind of work under many funders. The written scope we produce is designed to drop into a budget justification, and we are happy to word it to match your funder's categories.

Will you write our grant applications? +

No, and we think that protects you. We make the application stronger: the numbers, the reporting, the positioning, the evidence. The writing stays in your voice. Orgs that outsource the voice tend to win grants they cannot deliver on.

How do you handle donor data? +

Inside your accounts, with named access that ends at handoff, within PIPEDA expectations, and documented so your board can answer privacy questions confidently. We will sign your confidentiality agreement before the first call if you want.

Thirty minutes. Bring the report that takes longest.

We will tell you what fixing it takes, what it costs, and whether a free tool plus a better process gets you there without us.
